Our ventures portfolio includes companies like Konvi, Richmond Blackwood and Monochromatic. We are looking for an Executive Assistant with proficiency in English and German, who will also undertake responsibilities related to office administration.
Responsibilities:
Office Setup: Lead the setup and organization of our new office space, from furniture selection to equipment procurement.
Bilingual Communication: Manage mail correspondence, invoices, and documentation in both English and German with precision and promptness.
Efficient Scheduling: Coordinate appointments, meetings, and events, ensuring seamless logistics and bilingual communication.
Professional Assistance: Handle phone calls and emails, delivering professional and courteous support to clients, colleagues, and stakeholders in both languages.
Administrative Excellence: Address administrative tasks, including coordinating with government institutions and relevant authorities.
Confidential Reporting: Assist in preparing reports and documents, maintaining confidentiality and linguistic accuracy.
Vendor Coordination: Liaise with vendors, suppliers, and service providers, negotiating contracts and managing relationships effectively.
Qualifications:
Fluency in both English and German, with excellent written and verbal communication skills in both languages;
Bachelor's degree in languages, arts, business administration, or a related field is preferred;
Strong organizational skills, with the ability to prioritize tasks, meet deadlines, and adapt to shifting priorities in a fast-paced environment;
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications;
Ability to maintain confidentiality and handle sensitive information with discretion and integrity;
Demonstrated ability to work independently with minimal supervision and as part of a collaborative team;
Ability to juggle multiple tasks with ease, maintaining a keen eye for detail;
Proactive and adaptable, thriving in a fast-paced startup environment.
